Information we collect

We collect information in three ways: what you give us directly, what your browser sends us automatically, and what we generate while doing client work.

Information you provide

  • Contact and audit form submissions – name, email, company or website, phone (optional), the service you’re asking about, and anything you write in the message field.
  • Email correspondence – anything you send to hello@avantscale.co or reply to from us.
  • Free tool requests – when you use “Email me this” or “Email me my results” on our free tools pages: your email address, and optionally your first name and website, plus the tool name and (for the self-check) your result summary. We use them to send the copy you asked for. We send up to two follow-up emails only if you tick the follow-up box, and you can reply “stop” at any time. The self-check itself runs in your browser; your answers aren’t stored unless you ask us to email them.
  • Client onboarding information – business details, website access credentials (stored securely, never in plain text), billing contact, and campaign goals, collected once a service agreement is signed.

Information collected automatically

  • Usage Data –  pages visited, time on page, referring URL, device and browser type, approximate location derived from IP address, and on-page behavior such as clicks, scrolling and mouse movement, which Microsoft Clarity turns into session recordings and heatmaps (we do not store full IP addresses beyond what Google Analytics retains under its own policy). Clarity masks text typed into form fields, so we do not see what you enter.
  • Cookies and similar technologies – See Section 3 for the full breakdown

How we use it

We use the information above only for purposes you’d reasonably expect from a digital growth agency:

  • Responding to inquiries and free audit requests, generally within 24 hours.
  • Delivering SEO, AEO, GEO, content, and related services under a signed agreement.
  • Understanding how visitors use avantscale.co so we can improve the site.
  • Sending service-related updates to active clients (not marketing email — see Section 3 for how we handle marketing opt-ins, if and when we introduce them).
  • Meeting legal, tax, and accounting obligations in the Philippines and any jurisdiction a client is billed from.
  • Detecting and preventing fraud, spam, or misuse of our forms and systems.

We do not use client data or visitor data to train AI models, and we do not sell, rent, or trade personal data to third parties for their own marketing purposes.

Cookies and tracking

Cookies are small text files a website stores on your device to remember information between visits. We keep our use of them limited and disclosed here rather than hidden in a generic banner. For the full breakdown by category and retention period, see our Cookie Policy.

Third-party tools we use

Like most modern agencies, we rely on a small set of vetted platforms to run this site and our operations. Each processes a limited slice of data under its own privacy policy and, where applicable, a data processing agreement with us.

We periodically review this list as our stack changes. The current version is always the one on this page — not a version cached elsewhere.

Client and lead data

AvantScale often acts as a data processor on behalf of our clients — for example, when we manage a clinic’s Google Business Profile or run their analytics. In that role, the client is the data controller and we process data strictly under their instructions and our service agreement.

For our white-label agency partners in the US, UK and Australia, we handle end-client data under the same processor relationship, with confidentiality and data-handling terms set out in the partnership agreement, not this public policy.

If you are a customer of one of our clients and have a question about how your data was handled, please contact that business directly — we are not able to act on their behalf without their instruction.

When we share data

We share personal data only in these circumstances:

  • Service providers –  the tools listed in Section 4, each bound to only use data to provide their service to us.
  • Legal requirements – if required by law, court order, or to protect the rights, property, or safety of AvantScale, our clients, or the public.
  • Business transfers – if AvantScale is acquired or merges with another company, client and visitor data may transfer as part of that deal, subject to the same protections described here.
  • With your consent –  for any purpose not covered above, we’ll ask first.

How long we keep it

  • Contact and audit form submissions –  retained for up to 24 months if no engagement follows, then deleted.
  • Free tool requests – retained for up to 12 months if no engagement follows, then deleted.
  • Active client data – retained for the duration of the engagement plus the period required by Philippine tax and accounting law (generally 10 years for financial records).
  • Analytics data – retained under our Google Analytics 4 data retention setting, for no longer than 14 months, then deleted automatically by Google. Google Analytics and Microsoft Clarity run only if you accept statistics cookies. Microsoft stores Clarity data in its Azure cloud and handles it under the Microsoft Privacy Statement; Microsoft states that it keeps standard session recordings for 30 days, and favorited or sampled recordings and heatmaps for up to 9 months.
  • Email correspondence – retained as long as reasonably needed for business records, generally no more than 5 years after the last contact.

How we protect it

We apply reasonable technical and organizational safeguards proportionate to a small agency handling client marketing data — this is not a claim of enterprise-grade infrastructure, and we say so plainly rather than overclaiming:

  • Two-factor authentication on every admin account with access to client systems or this website.
  • Least-privilege access — access is limited to Francis and any authorized independent contractor or service provider required for a defined task. Access is restricted to the necessary systems and removed when it is no longer required.
  • Encrypted connections (HTTPS/TLS) across the site and administrative logins.
  • Regular review of who has access to what, especially when an engagement ends.

No method of transmission or storage is 100% secure. If we become aware of a data breach affecting your personal information, we will notify affected individuals and relevant authorities as required by applicable law, without undue delay.

Your rights

Depending on where you’re located, you may have some or all of the following rights over your personal data. To exercise any of them, email hello@avantscale.co — we’ll verify your identity and respond within the timeframe your local law requires (usually 30 days).

Children’s privacy

This site and our services are directed at businesses and professionals, not children. We do not knowingly collect personal data from anyone under 16. If you believe a child has provided us with personal data, contact us and we will delete it.

International data transfers

AvantScale is based in Quezon City, Philippines, and works with clients and partners in the Philippines, the United States, Australia, and the United Kingdom. Where personal data is transferred across borders — for example, from an EU/UK/AU visitor to servers or tools located elsewhere — we rely on the service providers’ own compliance mechanisms (such as standard contractual clauses) and take reasonable steps to ensure your data receives an equivalent level of protection.

Changes to this policy

We’ll update the “Effective” date at the top of this page whenever we make a material change, and for significant changes we’ll note what changed in this section for 90 days following the update. Continuing to use avantscale.co after a change means you accept the updated policy.

  • September 28, 2026: Google Analytics 4 added. It loads only if you accept statistics cookies. Retention wording updated: analytics data is kept for no longer than 14 months.
  • October 4, 2026: Microsoft Clarity and Tidio live chat added. Each loads only after you give consent in the cookie banner. The list of service providers was updated to match.
